Weather: Cancelation and Rescheduling Policy

The safety of your guests, our staff, and our specialized fleet of micro crawlers is our absolute top priority. Because our mobile RC crawler course is an outdoor entertainment experience, we closely monitor local weather forecasts. This policy is designed to be fair to you as a host while protecting our specialized equipment.

1. Operational Weather Constraints (The "Safe-to-Play" Standards)

For your safety and ours, our Rolling Ridge RC LLC cannot operate under the following conditions:

 • Precipitation: Steady or heavy rain, snow, hail, or lightning within a 10-mile radius of the event location. Micro RC electronics can tolerate some moisture but cannot withstand standing water or downpours. Lightning, and other severe weather, is dangerous to everyone.

 • High Winds: Sustained winds or gusts exceeding 25 mph, which present safety risks for the elevated trailer course, banners, and shade canopies.

 • Extreme Temperatures: Ambient temperatures below 30°F or above 105°F .

2. Pre-Event Weather Decision Timelines

We monitor the National Weather Service forecast leading up to your event. Final "Go / No-Go" decisions based on predicted severe weather are handled as follows:

 • 24 to 48 Hours Before Event: If the forecast models predict a 50% or greater chance of severe weather (heavy rain, high winds, or extreme temperatures) during your event window, we will contact you to discuss options.

 • Morning of the Event: A final determination will be made by Rolling Ridge RC LLC at least 3 hours prior to our scheduled arrival time.

3. Options for Inclement Weather

If severe weather forces a cancellation before our team dispatches, you may choose one of the following options:

 • Option A: Relocate Internally. If you have a garage, shop, or large indoor community space that can accommodate our setup (and permits vehicle/trailer access), we will happily transition the event indoors at no extra charge.

 • Option B: Reschedule & Raincheck. You can transfer 100% of your deposit to any mutually available date within 1 year of the original event date.

 • Option C: Weather Cancellation Refund. If rescheduling is impossible, you may cancel the event. You will receive a full refund of all payments made, minus a small $50 administrative fee to cover scheduling and processing overhead.

4. Mid-Event Weather Interruptions

Once our crew has dispatched, arrived, and successfully set up the trailer and micro crawler fleet at your venue, our operational costs are fully realized. If sudden, unexpected severe weather forces a temporary shutdown mid-event, our staff will pause operations to protect the equipment and guests. If the weather passes, we will resume play, extending the time slightly if our schedule allows. If the weather does not clear and forces a permanent shutdown, no partial or full refunds can be issued after setup has occurred.
